We read over 4,000 reviews of the big five CRMs. Sales teams say the same things about all of them.
The CRM is hard work, so reps don’t keep it up to date, so managers can’t trust what it says. TellMyCRM sits on top of the CRM you already have and fixes exactly that. Here is what sales teams told the review sites, what we do about it, and how we compare, feature by feature.
Five complaints that come up on every one of them.
“Reps don’t keep the CRM up to date.”
“takes up most of your time in data capturing and no actual selling”A technical sales manager
“Simple tasks like updating an opportunity or logging a call sometimes take more clicks than they should.”An account executive
A WhatsApp message or a voice note updates it in 30 seconds. Slack, Teams, Claude, ChatGPT and Copilot too. And the Coaching page shows who didn’t.
“It misses emails, and the Outlook add-in keeps breaking.”
“There have been issues with email syncing and not tracking all of our emails”A senior sales director
We read the mailbox itself. Every email with a customer goes onto the right deal without anyone clicking anything, including from a phone. When an email could belong to two deals, the rep is asked.
“The mobile app is useless on the road.”
“The mobile version is hard to navigate and as a result I rarely use it.”A company president
Reps don’t need it. A voice note from the car park, a photo of their handwritten notes, a line in Teams. It asks for a yes, then writes it.
“I can’t get the report I need.”
“you need a doctorate to repair a simple report”A reviewer
“Trying to get specific numbers or custom views is tricky without doing workarounds outside this tool.”A sales manager
Managers just ask. “Which deals have gone quiet?” “Who’s behind target?” And the Monday report, forecast and board pack arrive by themselves.
“The AI costs extra, and it’s noisy.”
“Terrible AI - does absolutely nothing in terms of added business value”A chief information officer
“Prepares sales briefings for nearly every meeting in calendar. You cannot direct it to relevant meetings.”A reviewer
It’s the product, not an add-on. It works inside the Claude, ChatGPT and Copilot your team already uses, and no bot ever joins a call.
Quotes are word for word from public reviews read on 12 October 2026, attributed by role. Counts are from about 4,300 reviews and posts on Capterra, G2, TrustRadius, Trustpilot, Microsoft Marketplace, Reddit and the CRMs’ own forums.
The CRM gets updated, because it takes thirty seconds.
Owen comes out of a meeting with Acme and sends a voice note. TellMyCRM works out which deal, reads back what will change, and writes it to the CRM when he says yes. No app, no forms, no clicks.
- Slack
- Teams
- Voice notes
- A photo of handwritten notes
- Claude
- ChatGPT
- Microsoft 365 Copilot
- Outlook
- Nothing changes until the rep says yes, and “undo” puts it back.
- Emails with customers go onto the deal by themselves.
- When a deal closes, it asks why in one line, and writes the reason to the CRM.
- A brief before every customer meeting, and a morning list of quiet deals with the chases already drafted.
Everything the CRM should have told you. From what actually happened, not what was typed in.
Which deals are real
Deals where the customer has gone quiet, close dates pushed twice, deals nobody is working, and how much of the pipeline probably won’t close. Eleven warning signs, set by you.
Every deal, understood
What the customer said, who signs, what was promised and what’s still missing under your sales method. How past deals at the same point ended. All from the emails and meetings.
ProAsk anything
“What’s at risk this month?” “Who’s behind target?” “Why are we losing to Rivalco?” On WhatsApp, Teams, or in Claude, ChatGPT and Copilot.
Reports that send themselves
The Monday report, the forecast with how right last month was, and the board pack as a PowerPoint or PDF with your logo. Plus a sales audit of the whole team.
What wins here
Your won deals against your lost ones: reply speed, first contact, meeting in person or on Teams, and which kinds of email get replies.
ProWhat customers are telling you
Competitors named, objections by theme, customers waiting on a change before they buy, and lost deals worth trying again.
ProEvery rep coached on every deal, every day.
TellMyCRM reads each deal against your sales method and tells the rep what’s missing, what it’s worth, how to ask for it, and writes the email that asks. Reps see what they’re not doing and fix it themselves.
- See the gap. On every deal: “You still don’t know: who signs, the timeline.” In Outlook, in their Monday week and on their Coaching page.
- See what it’s worth. From your own closed deals: how often deals like this were won when they knew it, and when they didn’t. Tick it off and watch the odds climb.
- Know how to ask. Your playbook gives the questions for every part of your sales method, with a good answer and a weak one.
- Send the email that asks. Drafted in the rep’s own style, asking for exactly what’s missing. Into their Drafts, never sent.
And one question finds every deal with the same gap: “Show me my deals with no economic buyer.”
“Apart from you, who needs to agree to spend this?”
“Who signed off the last purchase of this size?”
Example figures
Your CRM coaches calls. TellMyCRM coaches the whole sales person.
What the CRMs call coaching
- HubSpotCall recordings with comments, playlists of good calls, and a coaching assistant on calls and deals.
- SalesforceRole-play practice against an AI buyer (a paid add-on), training programmes from £80 a person, and call dashboards.
- Dynamics 365Call dashboards: talk time, sentiment, and comments on transcripts.
- PipedriveNumbers per person.
- ZohoA role-play agent, and each rep’s gap to their own target.
None of them prepares a one-to-one, keeps a record of it, or checks whether the coaching worked.
Before the one-to-one
- Your team ranked by who has most to gain, with the gap costing each of them most right now, in pounds.
- What changed since the last one-to-one: what they agreed and whether they did it, deals won, lost or gone quiet.
- “Talk about these first”: the deals probably lost and the close dates that don’t add up.
- What to praise first, and what to coach.
In the one-to-one
- Their pipeline one deal at a time: what’s known, what’s missing, how deals like it ended, and a fairer close date.
- Your commit, at-risk or dead call on each deal, with the reason. At risk puts the fix on their week.
- Actions agreed on the spot. Finish locks the record, the rep agrees it, and you both get it by email.
After it
- Up to three coaching asks each, measured on their new deals at 30, 60 and 90 days: moving, no change or worse.
- A reminder the day before each agreed action is due, ticked off when the data shows it done.
- The last three one-to-ones side by side, with the same problem flagged when it keeps coming back.
- Seven kinds of coaching plan, from new starter to behind target, private until you share them.
Each person against the team
- Ten habits, on their won deals against their lost: how fast they answer customers, days to first contact, chasing within a week, longest silence, more than one person at the customer, meeting them, agreeing a next step, keeping the deal moving.
- Every part of your sales method, deal by deal.
- Their year month by month against target, and which habits moved with it.
- Days in each stage against the team, and where their lost deals died.
- What your best people do that they don’t, and what they’d win doing it like the team.
Across the team
- What wins here: your own won deals against your lost ones.
- Your sales method explained part by part, with your team’s own evidence.
- Buddy pairs that teach each other, both ways, new pairs every three months.
- Whether your coaching is working: months with a one-to-one against months without.
- Your own calls scored: how often commit, at risk and dead turned out right.
For the rep
- Their own coaching page: what you’ve asked, what they agreed, their numbers against the team.
- Their week from you every Monday, in your words.
- In Claude or ChatGPT, “help me coach Owen this month” builds the plan from all of it.
And six more things none of the five do. At any price.

What Gong gives big sales teams, for yours.
Gong is software that big sales teams buy to find out what’s really happening in their deals. It records every sales call, then tells managers which deals are real and what to coach. Companies pay for it because their CRM only knows what reps type in. TellMyCRM does the same job for smaller teams, from the emails, the Teams meetings and the CRM they already have, without recording anything.
Where your CRM is ahead, we say so.
Where a CRM fully does something, it isn’t in the table. HubSpot changes deals from Claude and ChatGPT, writes up meetings, takes voice updates in its app (in beta), checks how right your forecast was and shows who uses its AI. Salesforce flags quiet deals and leaves out emails marked Private.
Dynamics 365 changes deals from Copilot, flags quiet deals, lets you set warning signs, sends a brief before a meeting and takes voice updates. Pipedrive writes up meetings. Zoho takes voice updates in its app and shows the closed deals most like yours.
TellMyCRM is for companies on Microsoft 365. Reading the emails and meetings themselves is part of Pro. CRMs change every month: if you see something out of date here, tell us at support@tellmycrm.com and we’ll fix it.
