Groups

One picture of the whole group.

Each business in your group keeps the CRM and the accounts system it already uses. TellMyCRM reads every one of them and puts them side by side: the pipeline, the deals won and lost, the money invoiced and the cash coming in, with a total for the group in the group’s own currency.

Free for 14 days, then from £19 a person a month. Card needed. Cancel in the first 14 days and you pay nothing.

CRMs: HubSpot, Pipedrive, Zoho, Salesforce and Dynamics 365. Accounts: Xero, QuickBooks, Sage and FreeAgent.

Who it’s for

For anyone who runs more than one business.

Groups that buy businesses

Each business you buy comes with its own CRM and its own accounts. Nobody has to move to a new system before you can see how it is doing.

Holding companies

The finance director sees every business’s pipeline and money on one page, and the group total, without asking each one for a spreadsheet.

Franchises

Each franchise keeps its own TellMyCRM, its own CRM and its own figures. The group sees them side by side.

Multi-brand businesses

One brand on HubSpot, another on Pipedrive. Each brand’s team keeps working the way it does now.

The group overview

Every business side by side, and the total.

An invented group of four businesses. Three are in pounds and one in euros; the group’s currency is pounds.

What the group sees

For each business, and for the group as a whole.

The pipeline

Open pipeline, and the same weighted by each deal’s own chance of closing in its CRM. The number of open deals, and what is due to close this month.

Won and lost

Deals won and lost this month and over the last twelve months, and the won rate. Plus the open deals nobody has updated in 30 days.

The money

From each business’s accounts system: won, invoiced and cash received; what is overdue and what is due in the next 90 days; aged debt; and a forecast of the cash to come.

One set of stages

Each business keeps its own deal stages in its own CRM. For the group, every open deal sits on five shared stages: Qualify, Discover, Propose, Negotiate and Commit. A group admin says where each business’s stages go.

Teams compared

Businesses and their sales teams compared over 3, 6 or 12 months, and what goes with winning across the group.

A business you have just bought

How one business sells against the rest of the group, from its own CRM: its win rate, how long it takes to win a deal, and where it is stronger or weaker.

Compare the sales teams

Who is winning, why, and who is telling the CRM the truth.

Every person and every deal stays in the business it came from. TellMyCRM lays the teams side by side, worked out from the deals themselves, so nobody is counted twice and nothing is guessed.

Who is winning

Win rate on the deals each team and each person closed, how long a deal takes to win, the average deal won and how many new deals turn into wins. Over 3, 6 or 12 months.

Like for like

New business is compared with new business, account management with account management. Every measure has its own leader; there is no made-up overall score. Too few deals, and it says so rather than rating anyone.

Why one team wins more

“Why is one business converting more than another?” What the winning teams do more of across their deals, such as meetings and replies, laid beside what they win. Shown as what goes with winning, never claimed as the cause.

Is the CRM up to date?

For each business, the open deals nobody has updated in 30 days, and how much pipeline sits on them.

Does the money match?

Deals the CRM says were won, checked against what was actually invoiced in each business’s accounts. Won deals with no invoice found are listed.

Is the pipeline real?

Each business’s sales audit reads the emails and meetings on every deal, and shows the pipeline where the customer has gone quiet while the CRM still says it will close.

For managers to decide with: TellMyCRM shows the evidence behind every figure and never tells you what to do about a named person. See an example sales audit →

Currencies

Each business in its own currency. The total in yours.

A business in Dublin reports in euros. A business in Leeds reports in pounds. The group chooses its own currency, and every total is added up in it.

  1. 01

    European Central Bank rates

Open deals and money owed are converted at the latest rate. A deal won or lost, and money invoiced or received, at the average rate for the month it happened, as a finance director would do it.

  2. 02

    Or a rate you fix

A group admin can fix the rate for any currency, for example your budget rate for the year. The page says which rate it used.

  3. 03

    Nothing counted as nothing

A business with no accounts system connected is still shown, and left out of the money total. The page says so.

Who sees what

Each business stays its own. The group sees what you allow.

A business joins itself

An admin of one business starts the group. Another business joins only when its own admin enters the group’s join code, so nobody can pull another company’s pipeline into a group. Its admin can take it out again.

People are added by name

A group admin gives people access by their email, and only people who work in one of the group’s businesses. Anyone else sees nothing, not even that the group exists.

A viewer

Sees every business and every team, and what goes with winning across the group. No named people.

A group admin

Also sees people compared, and who looks after which customer. Each time someone opens named people, it is recorded: who, what and when.

The money, for the board

Invoices, cash and debt are only shown to people with Board money on their own Team page, on top of their place in the group.

Each business’s own TellMyCRM

Each business’s reps and managers keep using TellMyCRM as before, with their own CRM, their own stages and their own reports.

Reports

A board pack, a pipeline and a Monday report. For the group, and for each business.

The group’s report opens with every business’s figures and the group total. Then comes each business’s own report, exactly as its own manager gets it. Or open one business on its own.

Download any of them as a PDF. Or have them sent: the board pack on the first working day of the month, the pipeline and the Monday report every Monday, to the people your group admin chooses.

The examples are one business’s reports, from an invented company. In a group report, each business’s section looks like this.

Billing

One invoice for the group, or each business pays.

Each business pays

The usual way. Each business pays for its own people, as it does today.

One invoice for the group

A group admin chooses one business to pay for everyone’s seats on one subscription. Turning it on charges nothing by itself: the paying business’s admin then presses Update seats on its Billing page. A business that already pays for itself cancels first, so nobody pays twice.
